Welcome to Adulthood !

So, You are a graduate now.. First and for almost all, welcome to the Adulthood! The real and truth of hardship is waiting for you. Get ready for it. Think how much fun it was when we were in college. No stress, No financial problem – Parents are there to take care of worries. Now what?

When I came to New Delhi, in 2003, I was clueless. This was not because I did not figure out what to do. This was because I was not having ample back-up to support my studies. Back then one of my alter-egos Rahul Shukla told me a story which I would like to share here..

He said, “Those who are pursuing higher degrees are there to earn a “Brahm Astra”. “Brahm Astra” in Hindu mythology is known as a super Arrow which can destroy the enemy in a jiffy. If it is released there is no question that it can miss its target. Once your rival has higher education from reputed college as Brahm Astra, it would be next to impossible to defeat him. The only way left is to break their Bow which can release the Arrow. In order to do so, one has to gather many small Arrows which are sharp and can be released without even getting stopped. This way before the rival could release his super Arrow, he is bombarded with many small arrows blocking his sight, his senses and his consciousness. You would be able to hit him hard at the right point. I understood what he wanted to say. He meant to say that I should go for small but powerful certifications and hit the target much before the others.

Check Finances and its source –

There is nothing to get offensive about it. I too have gone through similar phase in my life. We need to see our financial status before taking any further decision. It is not the only deciding factor but certainly the most important one. If you are financially sound then go for further studies and strengthen your profile. Nothing to worry, if you are going through the bad patch of your life.  There are multiple options to look at.

Explore for a quick and handy job –

Grab the first job if need be. Waiting for right opportunity is a myth. The thing which is in front of you is the Opportunity. Go and Grab it. Think later on what needs to be corrected. Anything you do will be a value addition and ultimately becomes your experience. Feel confident about it.

Problems are of two type, Don’t worry and face it –

Problems are of two types. a. Problem which comes with solutions and can be fixed immediately.  Problems which are required to be judged and acted as in when time demands. Give time to your problems. You are the best to solve your problems, No one else can.

Stay Calm and Composed during Adulthood –

Best way to handle or deal with situation. Make a deal with yourself. You are one who can be defeated if you think so.

Strive to Learn –

Learning never stops. What stops is our endeavor. Try not to give up and learn at every step. Remember this is the time when you can make a difference.

Time is precious –

Use the most of it. Fun time has gone and will come again if time is valued. Remember, time has no attribute. Those who don’t respect time, it come as a bad time for them.

Apart from above, it is very important to focus and decide your goal. Choose you strength and related certifications wisely. Strengthen yourself and convert your strengths into your identity. Work on your weakness to convert them into Strengths. There would be no use if you avail many certifications and all from different fields of study.

Once you are aimed and you do it. In due course of time you will see yourself above your rivals. You will have knowledge, supporting certifications to support your knowledge, experience and your enhanced personality.

Six Sigma – A statistical approach

Six Sigma is an statistical approach. It determines whether a process is in statistical control or is stable. Statistical analysis will basically help in understanding whether the process is stable or unstable. If unstable the data analysis can also help in understanding the nature of special cause, this will in turn leads to identification of the root cause.

I am going to discuss some of the statistical and graphical tools commonly used in project improvement.

Six Sigma - Defining A Problem, Opportunity Improve & Correcting Measures:
  • Project charter – First stage in Six Sigma therefore takes place in Define phase of DMAIC. The elements of a Project Charter can vary, but they generally include the Business Case, Problem Statement, Goal Statement, Team Members/Roles, and Constraints/Boundaries, and Project Scope.
  • Deploying VOC- Voice of Customer – It includes House of Quality, Parts development, Process planning & Production planning. It is the process to understand feedback from current and future customers.
  • Value stream map – A Value Stream Map visually maps the flow of steps, delay, and information required to deliver a product or service.
Six Sigma - Analyzing processes & Performance measures:
  • Process map for recording the activities performed as part of a process.
  • Root cause analysis & Capability analysis to find uncover causes & to assess the ability of a process to meet specifications.
  • Multi-Vari chart :- It’s a tool that graphically displays patterns of variation. It is used to identify possible Xs or families of variation, such as variation within a subgroup, between subgroups, or over time.
  • Control chart tool to monitor process stability and control and Pareto chart to analyze the frequency of problems or causes.
  • Failure mode and effects analysis (FMEA)  It is an important tool for risk assessment and helps prioritize the potential problem. The objective of FMEA is to look for all the ways a product or process can fail.
Six Sigma - Improving process performance -Eradicating root causes:
  • Design of experiments (DOE) to solve problems from complex processes or systems where there are many factors influencing the outcome and where it is impossible to isolate one factor or variable from the others.
  • Kaizen event to introduce rapid change by focusing on a narrow project and using the ideas and motivation of the people who do the work.
  • Control plan to document what is needed to keep an improved process at its current level.
  • Statistical process control (SPC) for monitoring process behavior.

Important Technical Tools with Description :-

The Critical to Quality (CTQ) Tree

The critical-to-quality tree is used during the design phase of DMAIC. It is used to brainstorm and validate the needs and requirements of the customer of the process, targeted for improvement.

The steps in creating a CTQ tree are as follows:

  • Identify the customer of the process targeted for improvement.
  • Identification of the need of the customer.
  • Identify the first level of requirements of the need, that is, some characteristic of the need that determines whether the customer is happy with the need.
  • Drill down to more detailed level(s) of the requirement if necessary.
The Process Map:

During the Define phase, the project team creates the first of several process maps. A process map is a picture of the current steps in the process targeted for improvement.

A process map has five major categories of work from the identification of the suppliers of the process, the inputs the suppliers provide, the name of the process, the output of the process, and the customers of the process. Each of these steps is summarized as SIPOC to indicate the steps to the team that must be conducted to complete a process map.

The Histogram:

This tool is used during the Analysis stage of DMAIC. The project team reviews data collected during the Measure stage of DMAIC.

It is often suggested that the data be organized into graphs or charts, which makes it easier to understand, what the data is saying about the process.

Data is of two types – Discrete data (fail or pass) and Continuous data ( time, height etc.).

The Pareto Chart (80:20 rule)

Histogram is useful for continuous data, same way when the data is discrete, most teams create a Pareto chart. Discrete data is counted data – go/no-go, off/on, yes/no, and defect/no defect type data.

An Italian economist Vilfredo Pareto, in the sixteenth century proved mathematically that 80 percent of the world’s wealth was controlled by 20 percent of the population. This 80-20 rule eventually proved applicable in arenas other than economics.

When dealing with discrete data, the project team should create reason codes for why a defect occurs, and count and categorize the data into these reason codes and a pareto chart should be prepared.

The Process Summary Worksheet

The goal of a Six Sigma project team is to improve effectiveness and efficiency. Efficiency is measured in terms of cost, time, labor, or value.

The process summary worksheet is a “roll-up” of the sub process map indicating which steps add value in the process and which steps don’t add value.

The Cause-Effect Diagram (Fishbone or Ishikawa Diagram)

The most important tool to assist the project team in determining root causation is the cause-effect diagram. This tool captures all the ideas of the project team relative to what they feel are the root causes behind the current sigma performance and finally help in finding a root cause of the problem.

The Scatter Diagram

Once ideas have been prioritized after use of the cause-effect diagram, the most important thing the project team does is to validate the remaining ideas with fact and data.

The scatter diagram takes an idea about root causation and tracks corresponding data, in the response the team is trying to improve. The team can validate an idea about root causation through one of the three methods. Using basic data collection, a designed experiment, or through the scatter diagram.

The Affinity Diagram

An affinity diagram is used to help sort and categorize a large number of ideas into major themes or categories. It is especially useful when the team is ready to brainstorm solutions in the Improve stage of DMAIC. The steps in creating an affinity diagram are:

  • Have each team member write one idea per Post-it note and post on a wall randomly.
  • As ideas are read off for clarification, sort ideas into similar groups.
  • Create a ‘header’ card for each general category of ideas below it.
The Run Chart

We have discussed the histogram and Pareto chart. Think of both of these tools as similar to a camera where a snapshot of the process has been taken. But the run chart is similar to a camcorder, recording some process element over time.

The Control Chart

Similar to a run chart, a control chart uses the data from a run chart to determine the upper and lower control limits. Control limits are the expected limits of variation above and below the average of the data. These limits are mathematically calculated and indicated by dotted lines.

There are lot of other tool with which six sigma works but these are most common for every team member to be aware of and knowledgeable about.

Personality Development – Be better every day

Personality eventually changes into Aura. One should always strive to develop personality. Apparently most of us, don’t know, Where to start, What and How to move forward? Here are some tips which can help you in personality development.

Start with Believing in SmileS –

S – 1 mile – S: A mile distance can be covered with SmileS. Break-up of words in our own language sometime gives insight to the actual meaning. Personality cannot be developed in a day. Regular practice with self cultural change can bring drastic and fruitful change in long run.

Allow yourself being an Optimist –

An Optimist is one who carries positive attitude. A positive personality is always recognized and admired by people. To be an Optimist, one has to be a solution provider. Remember that there are many who can create problems or put problems across. However, the Solution Provider and an Optimist are very few out there. Try to be a part of Optimist Community.

Understand difference between Confidence and Over Confidence and apply it –

‘I can do it’ is an example of Confidence. ‘Only, I can do it’ is considered to be Over Confidence.

I recommend avoiding ‘Only’ attribute in your accomplishments. This trait of human nature brings self possessed attitude and if not succeed then sudden drop in overall persona. It’s always good to think that you are capable of doing or completing a task, however it is advisable that learn from others too. There are many who may deliver the task better than you. Your speed of Personality Development process depends on your acceptance, understanding and applying this fact in your life as early as you can.

Avoid being a part of Chinese Whisper –

Chinese Whisper can be a game in which a message is passed on, in a whisper, by each of a number of people, so that the final version of the message is often radically changed from the original. This is ok till the time taken as a game. Anything more that is considered to be negative and attract negative perception resulting diminished Personality.

Listen to them first –

Be an active and patient Listener. This helps in getting to the solution. Also, it is an amazing art of putting your thoughts across. You can explain things better if you listen first. People share their thoughts openly if you are a good listener which helps in building good perception in their minds in no time.

It’s time to say good bye to your EGO –

EGO is considered to be good till the time it is not damaging emotions of others. It has often observed that people with high ego state are left alone. For personality development, we recommend you not be alone.

Are you well dressed –

We all have already read and understood this point very well. Many of the times, we have taught to be ‘Well Dressed’. People often take this as dressing sense. Yes, it’s true but not always. Neat and clean attire as per occasion will be a thumbs up. Nowadays, people notice your presence more than anything else.

Be consistent in your Personality –

Remain to be consistent. Try to make few things in routine. Very simple yet effective ways are listed below:

  • Try to stick to your favorite perfume or use similar fragrance – Your body perfume is a very small thing for you however in long run it becomes your Trade Mark.
  • Not too bold not too light – Try to go mild and average. Too bright or too strong attract distraction which is not considered to be a good personality development tool. I am sure you do not want yourself to be stared and unwillingly dragged in a Chinese whisper

Keyword – To be consistent, your follow-up needs to be strong. Keep Pen and Notebook handy always.

Reverse Osmosis Process: Be Pure –

Reverse Osmosis is a process where you de-ionize water by pushing it under pressure through a semi-permeable Reverse Osmosis Membrane. This principal of physics can be very fruitful if applied in life cycle. Going under pressure and attitude to learn new attributes make you Pure with every event. People love those who have learnt to be strong and yet ready to mild as per situation.
